Unless you plan to run a professional rental empire, a simple rental receipt, also known as transaction receipt or confirmed receipt with basic clean design is good enough. I do not see a point in using fancy backdrops, logos, and whatnot, when the whole point of a receipt is to simply acknowledge that payment was made and received.

Anyway, I do not see the point of having a PDF or Word formatted template when it is going to be hand written. Just download the template, fill it manually, then either scan it, fax it, or use the email template. For those renting out shop lots or something big, always request for post-dated check (or cheque), it is basically a check written with a future date, intended to prevent the payee from cashing or depositing it until that specific date. Why a post-dated check? Because the renter will always make sure their bank account has enough money.

2. Rental Receipt Via Email / Whatsapp

We live in a digital world now, an email, whatsapp, or iMessage to acknowledge that payment has been received is a legal document. It can be used in the court as evidence of payment made by the Tenants, therefore using a physical paper is a waste of time and money, not to mention traveling all the way just to deliver the physical receipt.

Having said that, delivering a physical receipt has its own benefit too, you get to ‘spot check’ the tenants, talk to the neighbours about the behavior of your current tenant and survey the surroundings.

This is called a rental ledger, where you keep certain information such as deposit received and etc. It helps you to keep track how and when you received the payment.
